For a UK business the accounting choice is partly made for you: VAT returns, and increasingly Income Tax, must be filed through software HMRC accepts. Pick from HMRC's own list first, then compare on invoicing, bank feeds and whether your accountant already uses it.

A CRM earns its place once more than one person talks to customers, or once leads start slipping between an inbox and a spreadsheet. Several credible CRMs have free tiers, so the real cost is setup time rather than licence fees.
How to choose
- Count users and contacts first: free tiers are capped on both, and the caps differ a lot.
- If you sell through a pipeline of deals, favour a pipeline-first CRM; if you mainly keep in touch with existing customers, a simpler contact manager is enough.
- Check it connects to the email you already use (Gmail or Outlook) before anything else.

HR software keeps employee records, holidays and onboarding in one place. UK payroll is a separate, regulated job: every pay run is reported to HMRC in real time, so payroll software has to support that.

Email, calendar and meetings
Most small businesses should choose one suite, Google or Microsoft, and take email, calendar, meetings and file storage from it. Mixing suites tends to mean paying twice and keeping files in two places.

What software does a UK small business need first?
Accounting software that HMRC accepts for Making Tax Digital, business email on your own domain, shared file storage and a password manager. A CRM and a task board follow once more than one person handles customers or projects.
Do I need Making Tax Digital software?
If you are VAT-registered, yes: GOV.UK says all VAT-registered businesses should now be signed up for Making Tax Digital for VAT. Sole traders and landlords come in for Income Tax by qualifying income: over £50,000 from 6 April 2026, over £30,000 from 6 April 2027 and over £20,000 from 6 April 2028. Check HMRC's software lists for a compatible product.
Can a UK small business run on free tools?
