Business automation tools for UK SMEs, compared

For most UK SMEs, automation starts with a no-code platform that connects the apps you already use: Zapier for breadth of connectors, Make for multi-step logic at lower volume cost, and Power Automate if you are on Microsoft 365. If customer data must stay on your own infrastructure, a self-hostable tool such as n8n or Activepieces is the alternative. Before any of them, use the automation already built into your accounting, CRM and task tools.
Connect your apps without code
These platforms move data between apps when something happens: a form is submitted, an invoice is paid, a deal is won. They differ mainly in how many apps they connect, how they price each run, and how complex a workflow they handle comfortably.
How to choose
- List the three or four apps you need to connect, and confirm each platform supports all of them before comparing prices.
- Estimate monthly runs: platforms meter tasks, operations or credits, and a busy workflow can exhaust a free tier in days.
- Simple 'when this, do that' flows suit any of them; branching logic and data transformation favour the visual builders.
- On Microsoft 365 already? Check what Power Automate licensing you have before buying another platform.
| Tool | Pricing | Free plan | Best for | Record |
|---|---|---|---|---|
| Zapier Zapier Inc. | Freemium | 100 tasks per month; Zap workflows, Tables and Forms included, but limited to two-step (single-action) workflows only. | The most widely-integrated no-code automation platform (8,000+ app connectors), best for connecting everyday SaaS tools without engineering help. | Vendor source Re-checked 2026-10-05 |
| Make Make (Celonis) | Freemium | 1,000 operations per month, maximum 2 active scenarios, minimum 15-minute scheduling interval, and a 5-minute maximum execution time per scenario. | Visual, node-based no-code automation for more complex multi-branch workflows than Zapier typically handles, at a lower operations-based price point. | Vendor source Checked at listing |
| Power Automate Microsoft | Subscription | No free plan | Organisations already on Microsoft 365 that need cloud flows plus desktop robotic process automation against older line-of-business applications. | Vendor source Re-checked 2026-10-05 Checked on the vendor's US page: confirm UK plans and prices on its UK site. |
| Zoho Flow Zoho Corporation | Freemium | Free plan allows 100 tasks per month, a maximum of 5 flows and 30-day flow history. | Small businesses running Zoho applications that want integrations with outside services without paying per-task rates from larger platforms. | Vendor source Re-checked 2026-10-05 |
Keep automation on your own infrastructure
Automations copy personal data between systems, often through the automation vendor's own servers. If that is a problem for your contracts or your UK GDPR assessment, a tool you can host yourself keeps the data where you put it, at the cost of running and patching a server.
How to choose
- Only self-host if someone on the team can maintain a server; an unpatched automation server holding API keys is a bigger risk than a hosted one.
- Read the licence: 'self-hostable' and 'open source' are not the same, and the terms matter if you build a product on top.
- Developer-first platforms accept code steps, which helps when a connector is missing.
| Tool | Pricing | Free plan | Best for | Record |
|---|---|---|---|---|
| n8n n8n GmbH | Freemium | Free, unlimited self-hosted 'Community Edition' (open source, run on your own infrastructure); the hosted cloud product itself is trial-only (no permanent free cloud tier) before paid Starter/Pro/Business plans. | Technical teams who want a self-hostable, open-core workflow automation tool with more control (custom code steps, own infra) than SaaS-only competitors. | Vendor source Re-checked 2026-10-05 |
| Activepieces Activepieces Inc. | Open source | Free cloud plan gives 100 credits per day for one user with unlimited flows. | Self-hosting an automation server under MIT while still having a hosted option, useful where data cannot leave your own infrastructure. | Vendor source Re-checked 2026-10-05 |
| Pipedream Pipedream | Freemium | Includes a free tier with a monthly allotment of workflow execution credits for building and running automations; the pricing page renders its plan grid via JavaScript so exact current credit/dollar figures could not be extracted in this pass — treat specific numbers as unconfirmed and check the live page before quoting them. | Developer-oriented workflow automation with built-in Node.js/Python code steps for teams who outgrow no-code-only tools like Zapier. | Vendor source Re-checked 2026-10-05 |
Automation already inside tools you use
Before paying for a separate platform, check the automation included in your existing tools. Task boards, CRMs and form builders include rules and triggers, often on their free plans, and they need no extra connection to maintain.
How to choose
- Automations inside one tool (move a card, assign a lead, send a reminder) belong there, not in a separate platform.
- Use a separate platform when the workflow crosses two or more products.
- The free-plan column below shows where each tool caps its built-in automations.
| Tool | Pricing | Free plan | Best for | Record |
|---|---|---|---|---|
| Trello Atlassian | Freemium | Up to 10 collaborators per Workspace, unlimited cards, up to 10 boards per Workspace, unlimited Power-Ups, 10MB max file size, 250 monthly automation (Butler) commands. | Simple, highly visual Kanban-board task tracking for small teams and lightweight personal/team workflows. | Vendor source Re-checked 2026-10-04 |
| ClickUp ClickUp, Inc. | Freemium | Unlimited tasks and members, but only 60MB storage, 5 Spaces max, 3 whiteboards, 1 form, 30-day chat history, 1-day activity view history, and 100 automation executions/month. | All-in-one, highly configurable work management for teams that want docs, chat, whiteboards, and task tracking in a single tool. | Vendor source Re-checked 2026-10-04 |
| Zoho CRM Zoho Corporation | Freemium | Free edition covers up to 3 users with contact management, workflows and standard reports. | Businesses already using other Zoho apps, or those wanting a low per-user price with heavy customisation and workflow automation. | Vendor source Re-checked 2026-10-05 |
| Jotform Jotform Inc. | Freemium | Free "Starter" plan available (Jotform branding included, removable on paid plans); submission/storage caps increase progressively through Bronze, Silver and Gold tiers. Paid plans start around $19/month. | Versatile drag-and-drop form builder with a huge template and widget library — good for approvals, payment collection, and conditional logic. | Vendor source Re-checked 2026-10-05 |
Automate the admin around meetings and paperwork
Some of the biggest time savings come from single-purpose tools rather than workflow platforms: booking pages that end scheduling emails, meeting assistants that write the notes, and e-signatures that replace print-sign-scan.
How to choose
- Booking pages: check they sync with the calendar you already use and can take payment if you need it.
- Meeting transcription: tell attendees a call is being recorded, and check where recordings are stored.
- E-signatures: free tiers are capped by documents per month; count yours first.
| Tool | Pricing | Free plan | Best for | Record |
|---|---|---|---|---|
| Calendly Calendly LLC | Freemium | Free plan is limited to one event type and one connected calendar. | Individuals and teams sharing booking links for sales calls, interviews or client meetings, with round-robin routing on paid tiers. | Vendor source Re-checked 2026-10-05 |
| Cal.com Cal.com, Inc. | Freemium | Free plan covers one user with unlimited event types and calendars plus payment and CRM integrations. | Teams wanting a customisable booking page with API access and the option to run scheduling on their own infrastructure. | Vendor source Re-checked 2026-10-05 |
| Fathom Fathom Video Inc. | Freemium | Free plan includes unlimited recordings, transcriptions and instant AI call summaries for a single user. | Individuals who want unlimited recording, transcripts and summaries of their video calls without paying a per-seat fee. | Vendor source Re-checked 2026-10-05 |
| Otter.ai Otter.ai, Inc. | Freemium | Free Basic plan gives 300 transcription minutes per month with a 30-minute cap per conversation. | Teams that want an assistant joining Zoom, Meet or Teams calls to produce searchable transcripts and summaries afterwards. | Vendor source Re-checked 2026-10-05 |
| SignWell SignWell, Inc. | Freemium | Free plan: 1 sender, 1 template, 3 documents/month, includes API access and audit trails. Paid Light plan from $10/month (1 sender, 5 templates/sender, unlimited documents). | Simple, affordable e-signature tool for small businesses/freelancers wanting unlimited documents without per-envelope fees. | Vendor source Re-checked 2026-10-05 |
Frequently asked questions
What is the easiest business automation tool for a small UK company?
A no-code platform such as Zapier is the usual starting point because it connects the most apps and needs no technical setup. Its free plan is limited to simple two-step workflows and a monthly task cap, shown in the table above.
Zapier or Make?
Zapier connects more apps and is simpler for straightforward workflows. Make's visual builder suits multi-branch workflows and meters by operations. Confirm both support your apps, then estimate your monthly volume against each free tier.
Is there a free business automation tool?
Several have free tiers with caps on runs, workflows or users, and some can be self-hosted at no licence cost if you run the server yourself. Each tool's free-plan limits are stated in the tables from the vendor's own pricing page.
Does automation affect UK GDPR compliance?
It can. Automations copy personal data between systems, sometimes through servers outside the UK, which can bring international-transfer rules into play. The ICO's international transfers guidance explains when those rules apply.
What should an SME automate first?
Repetitive hand-offs between two systems you already use: new enquiries into the CRM, signed documents into shared storage, booked calls into the calendar with a reminder. Start with one workflow, measure the time saved, then add the next.
Is this list sponsored?
No. No vendor pays for placement and there are no affiliate links. Each tool's details come from its verified record in our directory.
How this guide was built
The picks are editorial: chosen because they fit the task and have a verified record in the OfficeToolGuide directory. They are not ranked, and no vendor pays for inclusion. Every value in the tables comes from the tool's live record, checked against the vendor's own pricing page (linked as "Vendor source") and re-checked by our monitor where a date is shown. A tool that leaves the directory leaves this page.
UK rules are quoted from GOV.UK and the ICO and linked where they appear. Nothing here is tax, legal or financial advice. Corrections: contact us.
